- Acceptance of Terms
By accessing and using the website urbanturfarena.com (the “Website”) and booking sports facilities or services through Urban Turf Arena (“Company,” “We,” “Us,” or “Our”), you (“User,” “Hirer,” “You,” or “Your”) agree to be bound by these Terms & Conditions.
If you do not agree to any part of these terms, please do not use our website or services. Your continued use of our Website and services constitutes your acceptance of these Terms & Conditions in their entirety.
Age Requirement: You must be at least 18 years of age to create a booking account and contract with Urban Turf Arena. If you are booking on behalf of an organization, you warrant that you are authorized to legally bind that organization to these terms.
- Definitions
For purposes of this agreement, the following terms shall have the meanings stated below:
“Facility” – All sports venues, turf fields, equipment, facilities, and amenities operated by Urban Turf Arena at our location(s).
“Booking” – A confirmed reservation for use of the Facility for a specified date, time, and duration.
“Booking Period” – The period of time reserved for your use of the Facility as stated in your confirmation.
“Hirer” – The individual or organization who has made a booking reservation.
“User” – Any person present at the Facility using our services, including participants, spectators, and guests.
“Rental Fee” – The agreed price for use of the Facility during the Booking Period.
“Payment” – Full advance payment of the Rental Fee before or at the time of booking.
- Booking Confirmation and Payment Terms
3.1 Booking Process
All bookings must be completed through our online platform or by direct contact with our customer service team. Bookings are confirmed only upon receipt of full payment.
3.2 Payment Requirements
Full Advance Payment: All Rental Fees must be paid in full before the Booking Period commences
Payment Methods: We accept credit cards, debit cards, digital wallets, bank transfers, and other payment methods as displayed on our platform
No Credit: Urban Turf Arena does not extend credit or offer payment plans unless explicitly agreed in writing
Processing Fees: Payment processing fees, if applicable, are the responsibility of the user
Verification: Payments are considered confirmed only after verification by our payment processor
3.3 Booking Confirmation
Upon successful payment, you will receive a booking confirmation via email containing:
Booking reference number
Date, time, and duration of reservation
Facility details and location
Rental fee and payment confirmation
Cancellation and rescheduling instructions
Your Responsibility: You are responsible for verifying all details in your confirmation. Contact us immediately if there are any errors or discrepancies.
- Use of Facility
4.1 Permitted Use
The Facility is available for the following approved activities:
Recreational sports and games (football, cricket, badminton, etc.)
Sports training and coaching
Friendly matches and tournaments
Corporate team-building events
Community sports activities
Purpose Restriction: The Facility must be used only for the specific purpose stated in your booking. Using the Facility for unauthorized purposes constitutes a breach of these terms.
4.2 Hirer’s Responsibilities
You agree to:
Occupancy Limitation: Confine your activities to only the booked area during the Booking Period
Conduct: Ensure all participants, guests, and spectators conduct themselves properly and respectfully
No Disruption: Not interfere with other bookings or disrupt adjacent activities
No Subleasing: Not sublease, transfer, or assign your booking to third parties without written permission
Accurate Disclosure: Provide accurate information about the nature and scope of your booking
Supervision: Maintain responsibility for all persons you bring to the Facility
Timely Arrival and Departure: Arrive in adequate time to prepare and vacate the Facility promptly at the end of your Booking Period
4.3 Equipment and Facilities
Provided Equipment: Any equipment provided by Urban Turf Arena remains the exclusive property of the Company
No Removal: You may not remove, borrow, or take equipment or any items from the Facility
Damage to Equipment: You are liable for any damage to equipment caused by your negligence or misuse (see Section 6)
- Conduct and Prohibited Activities
You agree NOT to engage in or permit any of the following activities on the Facility:
Prohibited Conduct:
Use of illegal drugs, alcohol, or tobacco products (within the Facility premises)
Violent, abusive, or harassing behavior toward staff, other users, or guests
Creation of weapons or dangerous objects
Any form of discrimination based on race, caste, religion, gender, or sexual orientation
Unwanted physical contact or sexual harassment
Threatening or intimidatory behavior
Prohibited Activities:
Illegal activities or activities that violate any applicable laws
Commercial activities not authorized by the Company
Filming or photography without prior written permission
Spamming, hacking, or unauthorized access to our systems
Reselling tickets or access without authorization
Posting or sharing offensive, defamatory, or false content about the Facility
Facility Rules:
No animals (except certified service animals) are permitted on the premises
Smoking, vaping, and use of tobacco products strictly prohibited
Proper sports footwear required (no cleats, spikes, or studded shoes without authorization)
Appropriate sports attire required – dress codes for specific sports must be followed
Glass bottles, containers, and weapons strictly prohibited
Loud noise or excessive volume disturbance prohibited between specified hours
Violation Consequences: Violation of these conduct rules may result in immediate removal from the Facility, cancellation of current and future bookings, and forfeiture of all fees paid.
- Liability and Damages
6.1 Damage Liability
You are liable for any damage to the Facility, equipment, fixtures, or surrounding property caused by your negligence, misconduct, or that of your guests. This includes:
Damage to turf surface or playing field
Damage to lighting, sprinkler systems, or other infrastructure
Damage to boundary fencing or facility structures
Loss or damage to provided equipment
Damage to parking areas or common spaces
Liability Payment: Upon discovery of damage, the Company will provide a damage assessment and invoice you for repair or replacement costs. Payment must be made within 14 days of invoice.
6.2 Property Protection
Urban Turf Arena is not responsible for loss, theft, or damage to your personal property left at the Facility. We are not liable for:
Personal belongings left unattended
Vehicles parked at the premises
Items stored in changing areas or lockers
Equipment brought to the Facility
Your Responsibility: Keep your belongings secure and do not leave valuables unattended.
6.3 Injury and Medical Emergencies
6.3.1 Assumption of Risk
You acknowledge that participation in sports activities involves inherent risks of injury. You voluntarily assume all risks of injury, death, or property damage that may result from your use of the Facility, even if caused by Urban Turf Arena’s negligence.
6.3.2 Medical Waiver and Indemnification
By booking and using the Facility, you discharge, release, and hold harmless Urban Turf Arena, its owners, operators, employees, and agents from any and all claims, demands, or causes of action arising from:
Injury or death of any participant
Damage to personal property
Medical complications or health emergencies
Any incident occurring during or related to your use of the Facility
This waiver applies regardless of whether the injury or damage resulted from negligence, accident, or any other cause.
6.3.3 Medical Services
Urban Turf Arena provides no medical services or healthcare at the Facility. In case of medical emergency, you must contact emergency services (ambulance) immediately. You are responsible for any medical expenses incurred.
6.4 Limitation of Liability
To the maximum extent permitted by applicable law, Urban Turf Arena shall not be liable for:
Indirect, incidental, special, or consequential damages
Loss of income, profits, or business opportunities
Damages arising from service interruptions or temporary facility closures
Injuries or illnesses contracted at the Facility
Third-party claims or damages
6.5 Insurance Requirement
For group bookings involving competitive sports or tournaments, the Hirer must maintain and provide proof of comprehensive liability insurance naming Urban Turf Arena as an additional insured. Failure to provide insurance proof may result in booking cancellation.
- Facility Access and Security
7.1 Entry Requirements
Valid booking confirmation required for facility entry
ID verification may be requested at entry
Unauthorized persons will be denied entry
Urban Turf Arena reserves the right to refuse entry without providing reason
7.2 Facility Monitoring
The Company may photograph or record events for documentation purposes
CCTV surveillance may be active on the premises
Facility staff may enter the premises during and after events
Recording or filming requires prior written permission from management
7.3 Security Protocols
Users must comply with all security procedures and staff instructions
Emergency exits must remain unobstructed
In case of emergency, evacuate immediately and move to designated safe areas
Urban Turf Arena is not responsible for loss or damage during emergencies
- Facility Maintenance and Closures
8.1 Temporary Closures
Urban Turf Arena reserves the right to temporarily close or restrict Facility access for:
Regular maintenance and repairs
Cleaning and sanitation
Safety inspections
Weather-related conditions (flooding, extreme heat/cold)
Emergency situations
Force majeure events
8.2 Notification
The Company will attempt to notify users of planned closures at least 48 hours in advance through email or phone, when reasonably possible.
8.3 Company-Initiated Cancellations
If the Company must cancel your Booking due to circumstances beyond your control (facility damage, unavoidable maintenance, natural disasters), you are entitled to:
Full refund of Rental Fees paid, OR
Rescheduling to an alternative date at no additional cost, OR
10% credit toward future bookings
- Services and Rental Provisions
9.1 Service Offerings
Urban Turf Arena may provide additional services including:
Equipment rental
Parking facilities
Spectator seating
Lighting and field markings
Toilet and changing facilities
The availability and quality of these services are subject to the Company’s operational capacity and may be modified without notice.
9.2 No Warranty of Conditions
Urban Turf Arena provides the Facility “as is” in its current condition. We make no warranties regarding:
Perfect field conditions
Specific weather conditions
Absence of minor wear and tear
Specific lighting levels or conditions
Temperature control at open facilities
- Cancellation and Rescheduling Policy

10.1 Standard Cancellations
24+ Hours Notice: Full refund of Rental Fees
Less Than 24 Hours: No refund; full amount forfeited
Processing Time: 7-10 business days for refund to original payment method
10.2 Rescheduling
48+ Hours Notice: Free rescheduling subject to availability
Less Than 48 Hours: 10% administrative fee may apply
10.3 No-Show Policy
No-show for your Booking will result in forfeiture of 100% of the Rental Fee paid. The Company will not process refunds or rescheduling requests for no-shows.
- Changes to Terms and Pricing
11.1 Policy Updates
Urban Turf Arena reserves the right to modify these Terms & Conditions at any time. Changes become effective immediately upon posting to the Website.
11.2 Notification
Material changes will be communicated to users via:
Email notification to registered users
Prominent notice on the Website
Pop-up or banner alerts
Direct communication for ongoing bookings
11.3 Price Changes
Pricing for future bookings may be adjusted without notice. Pricing changes do not apply to already-confirmed and paid bookings.
- Intellectual Property Rights
12.1 Company Property
All content on the Website, including text, images, logos, graphics, software, and designs, is the exclusive property of Urban Turf Arena and protected by copyright and intellectual property laws.
12.2 Limited License
We grant you a limited, non-exclusive license to access and use the Website for lawful purposes only. You may not:

Modify or adapt any materials
Use content for commercial purposes
Distribute, display, or perform content publicly
Reverse engineer or attempt to extract source code

These Terms & Conditions are governed by the laws of India, specifically the jurisdiction where Urban Turf Arena is located.
13.2 Dispute Resolution Process
Step 1 – Direct Negotiation: Any disputes shall first be resolved through good faith negotiation between the parties within 14 days.
Step 2 – Mediation: If unresolved, disputes will be submitted to mutually agreed mediator for resolution.
Step 3 – Arbitration: If mediation fails, disputes will be resolved through binding arbitration under the Arbitration and Conciliation Act, 1996.

Arbitration to be conducted in English language
Single arbitrator to be mutually appointed

Exclusion: Small claims or disputes under ₹25,000 may be resolved in small claims courts.
13.3 Severability

Urban Turf Arena complies with the Consumer Protection Act, 2019. Users have the right to lodge complaints regarding unfair trade practices, defective services, or violations of these terms.

16.3 Account Termination
Urban Turf Arena reserves the right to suspend or terminate your account if you:

Engage in fraudulent or illegal activity
Repeatedly violate facility rules
Become a security risk

- Force Majeure
Urban Turf Arena shall not be liable for failure to perform under these Terms & Conditions due to causes beyond our control, including:

Pandemics or epidemics
Acts of government or terrorism

In such cases, we will offer rescheduling or refunds at our discretion.
