These Service Delivery Terms govern all additional services, equipment rentals, and amenities provided by Urban Turf Arena (“Company,” “We,” “Us”) beyond basic facility bookings. These terms supplement and should be read in conjunction with our main Terms & Conditions, Cancellation & Refund Policy, and Privacy Policy.

  1. Scope and Application
    1.1 Covered Services
    These Service Delivery Terms apply to all add-on services including but not limited to:​

Equipment Rental Services:

Sports equipment (balls, goals, cones, markers, bibs)

Training equipment (agility ladders, hurdles, resistance bands)

Protective gear (goalkeeper gloves, shin guards)

Recreational equipment (scoreboards, whistles, match kits)

Facility Amenities:

Lighting services for evening bookings​

Changing rooms and locker facilities

Shower facilities

Spectator seating arrangements​

Parking services​

Event Support Services:

Tournament organization support

Referee and umpire services

Photography and videography services​

Sound system and amplification​

Event setup and breakdown assistance

Food & Beverage Services:

Water bottles and hydration stations

Snack bar and refreshment services​

Event catering for groups

Beverage vending services

Professional Services:

Coaching and training sessions

Fitness assessments

Sports camps and clinics

Corporate team-building programs

  1. Booking and Reservation of Add-On Services
    2.1 Service Requests
    Add-on services must be requested and confirmed at the time of facility booking or at least 48 hours in advance of your scheduled booking time. Last-minute service requests are subject to availability and may incur rush fees.​

During online booking process (select add-ons from dropdown menu)

Contact customer service via phone or email

Request through your booking confirmation page

In-person at our facility reception

2.2 Service Confirmation
All add-on service requests must be confirmed in writing (email or SMS) before your booking date. Unconfirmed service requests cannot be guaranteed.

Confirmation Details Include:

Type and quantity of services/equipment requested

Rental duration and delivery/pickup times

Associated costs and payment terms

Special instructions or customization requests

2.3 Availability and Substitution
Service availability is subject to operational capacity and existing reservations. Urban Turf Arena reserves the right to:

Decline service requests due to unavailability

Substitute comparable equipment or services of equal or greater value

Modify service delivery times based on scheduling constraints

We will notify you immediately if requested services cannot be fulfilled and offer suitable alternatives.

  1. Equipment Rental Terms
    3.1 Rental Period and Duration
    Equipment rental periods are calculated as follows:​

Hourly Rentals: Equipment borrowed for less than 4 hours
Half-Day Rentals: Equipment borrowed for 4-8 hours
Full-Day Rentals: Equipment borrowed for 8-12 hours
Multi-Day Rentals: Equipment borrowed for multiple consecutive days

Rental Start Time: When equipment is collected from or delivered to you​
Rental End Time: When equipment is returned to Urban Turf Arena or collected by our staff​

Your equipment rental period must align with or fall within your facility booking time unless otherwise arranged.

3.2 Equipment Condition and Inspection
Pre-Rental Inspection: You acknowledge that you have inspected all rented equipment and accepted it in good, working condition. Any pre-existing damage must be reported immediately at the time of collection.​

Your Responsibilities:

Use equipment only for its intended purpose​

Follow all manufacturer instructions and safety guidelines

Maintain equipment in the same condition as received (normal wear excepted)

Protect equipment from theft, damage, and environmental hazards

Not modify, repair, or alter equipment without authorization

Post-Rental Inspection: Equipment will be inspected upon return. You are responsible for any damage, loss, or excessive wear beyond normal use.

3.3 Equipment Return
All rented equipment must be returned:

Clean and in the same condition as received​

Complete with all components and accessories provided

At the designated return location (equipment storage/reception desk)

On or before the agreed return date and time​

Late Returns: Equipment returned after the agreed time will incur late fees as specified in Section 5.2 below.​

3.4 Lost or Damaged Equipment
Damage Liability: You are fully liable for any damage to rented equipment caused by negligence, misuse, or accidents. Damage repair costs will be assessed based on:​

Actual repair costs for repairable items

Full replacement value for irreparable items

Loss of rental income during repair period (for extended repairs)

Lost Equipment: If equipment is lost, stolen, or not returned, you will be charged the full replacement value plus a 20% administrative fee.​

Damage Assessment: Urban Turf Arena will provide a written damage assessment and invoice within 7 days of equipment return. Payment is due within 14 days of invoice date.

3.5 Equipment Availability and Reservations
Popular equipment (goals, complete ball sets, etc.) should be reserved in advance to ensure availability. Walk-in equipment rentals are subject to availability and cannot be guaranteed, especially during peak hours and weekends.

  1. Facility Amenities and Services
    4.1 Lighting Services
    Evening Lighting: Available for bookings between sunset and 10:00 PM​
    Lighting Fee: Charged per hour of use as per current rate card
    Advance Booking Required: Must be requested at least 24 hours in advance
    Automatic Shutdown: Lights automatically shut off at 10:00 PM per local regulations​
    No Extensions: Lighting cannot be extended beyond 10:00 PM under any circumstances

Usage Guidelines:

Lights are pre-programmed and cannot be manually adjusted

Report any lighting malfunctions immediately

Do not attempt to override lighting controls

4.2 Changing Rooms and Lockers
Access: Provided free with standard bookings during operational hours
Personal Belongings: Urban Turf Arena is not responsible for theft, loss, or damage to items stored in changing rooms or lockers​
Locker Rental: Available for a refundable deposit; keys must be returned at checkout
Cleanliness: Users must maintain cleanliness; deliberate mess may incur cleaning charges

Rules:

Maximum occupancy limits must be observed

No smoking, vaping, or consumption of alcohol

Proper conduct and respect for other users required

Lock valuables or keep them with you at all times

4.3 Parking Services
Standard Parking: Complimentary parking available on first-come, first-served basis​
Reserved Parking: Available for large groups and tournaments with advance booking
Parking Restrictions: Follow all posted signage; illegally parked vehicles may be towed at owner’s expense
Liability: Urban Turf Arena is not responsible for vehicle damage, theft, or loss occurring in parking areas​

4.4 Spectator Seating
General Seating: Available free of charge on first-come basis
Reserved Seating: Available for tournaments and special events with advance booking
Capacity Limits: Spectator areas have maximum capacity limits for safety compliance
Conduct: Spectators must remain in designated areas and not enter the playing field during active bookings​

  1. Pricing, Payment, and Fees
    5.1 Service Pricing
    Transparent Pricing: All service prices are displayed on our website and booking platform​
    Rate Structure: Pricing varies based on service type, duration, and booking volume
    Group Discounts: Available for large group bookings, tournaments, and recurring rentals
    Seasonal Pricing: Rates may vary during peak seasons and holidays

Price Inclusions:

Base service/equipment rental fee

Standard delivery/pickup (where applicable)

Basic setup and operation instructions

Applicable taxes (as required by law)

Additional Charges:

Express service fees (for requests with less than 48 hours notice)

Delivery fees for off-site equipment delivery

Extended rental periods beyond agreed time

Damage repair or replacement costs

Late return penalties

5.2 Payment Terms
Advance Payment Required: All add-on services must be paid in full at the time of booking confirmation​
Payment Methods: Credit/debit cards, digital wallets, bank transfers, cash (at facility only)
No Credit Terms: Payment plans or deferred payments are not available for add-on services
Invoicing: Corporate clients with pre-approved accounts may receive invoices with 14-day payment terms

5.3 Late Return Fees
Equipment or services retained beyond the agreed rental period will incur late fees:​

Hourly Equipment: 50% of hourly rate per additional hour
Daily Equipment: Full additional day rate after 2-hour grace period
Multi-Day Equipment: Pro-rated daily rate for each additional day

Grace Period: A 30-minute grace period is provided for equipment returns; beyond this, late fees apply immediately.

5.4 Security Deposits
Certain high-value equipment rentals may require a refundable security deposit:​

Deposit Amount: Typically 25-50% of equipment replacement value
Refund Terms: Deposits refunded within 7-10 business days after equipment return and inspection
Deposit Retention: Deposits may be retained (partially or fully) to cover damage, loss, or late fees

  1. Service Delivery and Setup
    6.1 Equipment Delivery
    On-Site Delivery: Equipment delivered to your booked playing area at the start of your booking time​
    Self-Pickup: Alternatively, collect equipment from our equipment storage area upon arrival
    Delivery Timing: Equipment available 15 minutes before your booking start time

Your Responsibilities:

Be present to receive and inspect equipment

Sign equipment delivery receipt acknowledging condition

Report any missing or damaged items immediately

6.2 Setup and Installation
Self-Setup: Most equipment rentals are self-setup (balls, cones, markers, bibs)
Staff Setup: Complex equipment (goals, nets, sound systems) may include staff setup as part of the rental fee​
Setup Time: Setup time is included in your booking period; plan accordingly​

Installation Guidelines:

Follow provided setup instructions carefully

Do not modify or reposition permanently installed equipment (goals, nets)​

Request staff assistance for heavy or complex equipment

Ensure all equipment is safely secured before use

6.3 Takedown and Return
Takedown Time: Equipment takedown and return must be completed within your booking period​
Condition Requirements: Clean equipment of mud, dirt, or debris before return​
Return Location: Return equipment to designated storage area or hand to staff member
Inspection: Staff will inspect returned equipment in your presence when possible

  1. Event Support Services
    7.1 Tournament and Event Organization
    Urban Turf Arena offers comprehensive tournament support services including:

Pre-Event Planning:

Field allocation and scheduling assistance

Tournament format and bracket design

Registration and participant management support

Event Day Services:

Field preparation and marking​

Scoreboard and timing services

PA system and announcements​

Referee coordination

First aid and emergency support

Post-Event Services:

Results compilation and reporting

Trophy and awards presentation coordination

Field cleanup and restoration

Booking Requirements: Tournament services require at least 2 weeks advance notice and separate service agreement.

7.2 Referee and Umpire Services
Availability: Professional referees available for bookings of 2+ hours
Qualifications: All referees are certified and experienced in their respective sports
Booking: Must be requested at least 72 hours in advance
Cancellation: Referee bookings cancelled with less than 24 hours notice incur 50% cancellation fee

Service Includes:

Pre-match field inspection and approval

Complete match officiating

Score and time keeping

Rule enforcement and dispute resolution

Post-match reporting (if requested)

7.3 Photography and Videography
Professional Services: Hire our approved photographers/videographers for your event​
Recording Permissions: Personal recording requires advance permission from facility management​
CCTV Footage: Security camera footage is for internal use only and not available for customer use

Usage Rights:

Professional photos/videos: Full usage rights provided to customer

Urban Turf Arena may use event photos for marketing purposes unless customer objects

Customers must obtain consent from all participants before commercial use

7.4 Coaching and Training Services
Professional Coaching: Qualified coaches available for individual sessions, group training, and camps
Training Programs: Structured programs for various skill levels and age groups
Assessment Services: Skill assessments and personalized development plans available

Booking Process:

Contact customer service to discuss coaching requirements

Match with appropriate qualified coach

Schedule sessions based on mutual availability

Minimum booking typically 1 hour; packages available

  1. Food and Beverage Services
    8.1 Snack Bar and Refreshments
    Operating Hours: Snack bar operates during peak facility hours (check website for current schedule)
    Menu: Standard menu includes water, sports drinks, snacks, and light meals
    Payment: Cash and card accepted at snack bar
    Outside Food: Customers may bring their own food and non-alcoholic beverages​

Restrictions:

No glass containers allowed on facility premises​

No alcohol consumption without special event permit

No food or beverages (except water) allowed on turf surface​

All trash must be disposed of properly in designated bins​

8.2 Event Catering
For group bookings and special events, Urban Turf Arena can arrange catering services:

Catering Options:

Pre-packaged meal boxes

Buffet-style catering

Beverage packages (soft drinks, juice, water)

Custom menu planning for special dietary requirements

Requirements:

Minimum 7 days advance notice

Minimum order quantities apply

Full payment required 3 days before event

Special dietary accommodations available with advance notice

8.3 Food Safety and Allergies
Food Safety: All food service complies with local health and safety regulations
Allergen Information: Available upon request; customers responsible for verifying allergen information
Liability: Urban Turf Arena is not liable for allergic reactions; customers must exercise personal discretion

    9.1 Quality Commitment
    Urban Turf Arena is committed to delivering high-quality services and well-maintained equipment. We strive to:

Maintain all equipment in excellent working condition

Provide clean, safe, and functional facilities

Deliver professional and courteous customer service

Respond promptly to service requests and issues

9.2 Service Complaints
If you are dissatisfied with any service:

Immediate Issues: Report problems to staff on-duty immediately for prompt resolution
Follow-Up Complaints: Submit written complaints within 48 hours of service delivery
Resolution Process: Management will investigate and respond within 7 business days
Remedies: Appropriate remedies may include service credits, partial refunds, or complementary services

9.3 Service Modifications
Urban Turf Arena reserves the right to:

Modify service offerings based on operational requirements

Discontinue services with 30 days notice to affected customers

Temporarily suspend services for maintenance or safety reasons

  1. Safety and Operational Rules
    10.1 Equipment Safety
    Proper Use: All equipment must be used only for its intended purpose and according to safety guidelines​
    Safety Inspections: Report any damaged or malfunctioning equipment immediately
    Prohibited Actions:

Modifying or tampering with equipment

Using equipment beyond its rated capacity

Allowing unqualified persons to operate specialized equipment

Using equipment in unsafe weather conditions

10.2 Facility Rules for Service Users
All service users must comply with general facility rules:​

Appropriate sports footwear required (no metal cleats without authorization)​

No unauthorized vehicles on turf or field areas​

No animals except certified service animals​

No climbing on goals, fences, or facility structures​

Spectators must remain in designated areas during play​

10.3 Weather-Related Service Adjustments
Severe Weather: Services may be suspended during severe weather conditions for safety reasons
Partial Refunds: Available for significant weather-related service disruptions
Rescheduling: Priority rescheduling offered when services cancelled due to weather

  1. Liability and Indemnification
    11.1 Service Liability Limitations
    Urban Turf Arena’s liability for add-on services is limited to the fees paid for those specific services. We are not liable for:

Indirect, consequential, or incidental damages

Loss of income or business opportunities

Personal injury arising from service use (subject to standard facility waiver)

Equipment malfunction beyond our reasonable control

11.2 Customer Indemnification
You agree to indemnify and hold harmless Urban Turf Arena from claims, damages, or losses arising from:​

Your misuse of rented equipment or services

Injury to participants or spectators in your group

Damage to third-party property caused by your group

Your violation of these Service Delivery Terms

11.3 Insurance Requirements
For large-scale events and tournaments utilizing extensive add-on services, proof of liability insurance may be required.​

  1. Cancellation of Add-On Services
    12.1 Customer-Initiated Cancellations
    48+ Hours Notice: Full refund of service fees
    24-48 Hours Notice: 50% refund of service fees
    Less than 24 Hours: No refund; full service fee retained

Exceptions: Non-refundable services (customized items, pre-ordered catering, booked third-party professionals) are subject to their specific cancellation terms.

12.2 Company-Initiated Cancellations
If Urban Turf Arena must cancel services due to equipment unavailability, operational issues, or force majeure:

Full refund of service fees, OR

Alternative service of equal or greater value, OR

Service credit for future use

  1. Special Terms for Specific Services
    13.1 Sound System Rental
    Volume limits must be observed per local noise ordinances​

Service ends promptly at specified times

Customer responsible for audio content compliance with decency standards

Technical support provided for setup only; customers operate independently

13.2 Goal and Net Equipment
Goals must not be moved or repositioned without staff authorization​

Climbing on goals strictly prohibited​

Net tension adjustments only by staff

Report any instability or damage immediately

13.3 Coaching Services
Separate waiver required for minor participants

Parental consent required for participants under 18

Coaches not liable for participant injuries during training

Missed sessions non-refundable unless 24 hours notice provided

    By booking add-on services with Urban Turf Arena, you acknowledge that you have read, understood, and agree to be bound by these Service Delivery Terms in addition to our main Terms & Conditions.

These Service Delivery Terms may be updated periodically. Continued use of our services constitutes acceptance of any modifications.
